1. Introduction
This Privacy Policy describes how the Presque Isle High School Alumni Association (“Association”), a nonprofit-alumni organization based in the State of Maine, collects, uses, and protects information when you visit pihsalumni.org (“this website”) or submit the membership form linked from this website. It is provided as a disclosure of our privacy practices and describes our responsibilities under applicable Maine law.
2. Who Is Involved
This website was built, and is maintained and hosted, by Alexander Wasson, an independent web developer and hosting provider, using infrastructure that includes Cloudflare. His involvement is technical. The Association is the controller of the personal information that you submit through the membership form: the Association decides what information to collect, how it is used, and how long it is kept. Alexander Wasson is not the controller of that information. This is further described in Section 10 below.
3. Information We Collect
We collect very little information about visitors to the website itself. The information we may collect includes:
- Technical data collected through hosting and Cloudflare: IP address, browser type and version, device type, operating system, referring pages, pages visited, and date and time of requests. This data is processed automatically to deliver, secure, and operate the website.
- Information you voluntarily provide through the membership form (Google Forms): the personal information you choose to share with us, which may include your name, contact information (such as email address), class year, and professional information such as your field of work or employer. The exact fields are those shown on the membership form at the time you submit it.
- Contact information: if you contact the Association directly, we may keep the information needed to respond to your inquiry.
4. How Your Information Is Used
Any information collected through the website or the membership form is used solely for:
- Processing and maintaining Association memberships
- Building and maintaining a searchable alumni database, including contact and professional information
- Connecting alumni and recent graduates for mentoring and job-searching purposes
- Organizing and communicating about Association events, including the annual Homecoming / Reunions Weekend
- Sending newsletters, e-mails, and other alumni communications you have requested or agreed to receive
- Responding to your inquiries and correspondence
- Improving website content, structure, and user experience
- Monitoring and analyzing site traffic and outages
- Maintaining website security and preventing abuse, attacks, or unauthorized access
- Complying with legal obligations
We do not use your information for advertising, profiling, or any form of automated decision-making, and we do not sell your personal information to anyone.
5. Google Forms and Google’s Processing
The membership form on this website is created and collected using Google Forms. When you submit the membership form, your responses are transmitted to and stored by Google on behalf of the Association. Google acts as a data processor for this information in accordance with its own privacy policy and applicable Google terms. In plain terms: the information you submit in the form is provided to the Association, and Google facilitates collecting and storing it for us. We encourage you to review Google’s privacy policy to understand how Google handles data on its services. The mobile number or other Google account details you may use to access Google services are collected by Google under Google’s policies, not ours.
6. Third-Party Services and Cookies
This website is proxied through Cloudflare for content delivery and security. As part of its services, Cloudflare may process technical data including IP addresses, DNS query data, and HTTP request data, and may set essential cookies or similar technology required for security and performance (for example, to mitigate distributed denial-of-service attacks or manage load balancing). These are strictly necessary for the site to function and are not used to track your activity across other websites. Cloudflare’s processing is governed by its own privacy policy, website terms, and Data Processing Addendum.
This website does not use cookies for tracking or advertising, and we do not use third-party analytics that track you across sites. Links to third-party websites, including Google Forms, Cloudflare, and calendar.aroostook.me, are provided for your convenience, and this Privacy Policy does not govern those services.
7. Data Sharing and Disclosure
We do not sell, rent, trade, or share your personal information with third parties for marketing purposes. We may share information only:
- To the extent required by law, legal process, or valid government request
- To the extent necessary to provide website infrastructure and security through Cloudflare and our hosting provider
- To the extent necessary to collect and store membership submissions through Google Forms
- Where needed to organize events or connect alumni with each other or with partner organizations (for example, mentoring, internship, or job opportunities), and only where you have agreed to such sharing or where the sharing is consistent with the purpose for which you provided the information
8. Data Retention
Membership information is retained for as long as you remain a member of the Association and for a reasonable period afterward as needed for record-keeping, communications, and legal obligations. You may request deletion of your information at any time as described in Section 9. Server and Cloudflare logs are retained only for as long as reasonably necessary for security, troubleshooting, abuse prevention, and legal obligations, and are then deleted automatically.
9. Your Rights and Choices
Subject to applicable law and our obligations to others, and to the extent we hold personal information about you, we will honor reasonable requests to access, correct, update, or delete that information, and to object to or restrict its processing. To make such a request:
- Use the membership form (if you are a member) and include a note of your request, or
- Use any contact information provided in our communications to you
We will respond to verifiable requests within the time required by applicable law. If you are a visitor who does not submit the membership form, we generally hold no personal information about you beyond transient technical log data, which is not tied to your identity.
10. The Role of Our Website Host and Developer
Alexander Wasson built, maintains, and hosts this website using infrastructure that includes Cloudflare. With respect to the data on this website, it is important to distinguish between two kinds of data:
- Association data belongs to the Association. The membership submissions, alumni database entries, and any other information collected through the membership form are the Association’s data. The Association controls how that information is used and is responsible for it. Our host does not collect, use, or access that data as his own.
- Hosting infrastructure data is processed to run the site. To host, deliver, and secure the website, our host and Cloudflare necessarily process technical data such as IP addresses, browser and device details, request URLs, and timestamps. This technical data is used only for operation, security, performance, and abuse prevention, is not sold, and is retained only as long as needed.

11. Data Security
We take reasonable technical and organizational measures to protect the limited information processed through this website and the membership form against unauthorized access, alteration, disclosure, or destruction. Because no method of transmission or storage is completely secure, we cannot guarantee absolute security. If a breach of security affecting personal information occurs, we will comply with all applicable notification requirements of Maine law, and our host will cooperate with us in doing so.
12. Maine Privacy Law
This policy is intended to describe our practices and our obligations under applicable Maine law, including Maine’s Act to Protect the Privacy of Online Consumer Information (10 M.R.S. ch. 220-B), under which we do not sell your personal information, and Maine’s notification of security breach law (10 M.R.S. § 1348 and § 1349), under which we endeavor to notify affected individuals and the Superintendent of Consumer Protection as required if there is a security breach affecting personal information. Nothing in this policy is intended to, nor should be read to, guarantee that every obligation of Maine law is satisfied in every circumstance, and nothing in it limits any right or protection provided by law.
13. Children’s Privacy
This website is not directed to children under the age of 13, and we do not knowingly collect personal information from children. If a student under 13 wishes to learn about the Association, a parent or guardian should contact us on their behalf. If you believe a child under 13 has provided personal information through the membership form, please contact us and we will promptly remove that information.
14. Do Not Track
This website does not engage in cross-site tracking, and we do not respond differently to browser “Do Not Track” signals because no such tracking occurs.
15. AI-Assisted Development and Content
Portions of this website, including some content, code, and design elements, may be created, reviewed, or enhanced with the assistance of artificial intelligence (AI) tools. The data processed by such tools relates to website development materials (such as the site’s source code and text content) and does not include personal information about members or visitors of this website. We do not share, sell, or transmit member or visitor personal information to any AI tool provider.
16. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in law, technology, or the operation of this website. Changes will be posted on this page with an updated revision date, and continued use of the website or continued membership after changes are posted constitutes acceptance of the revised policy.
